How to set up APOPS POS, the CheckThis point of sale
APOPS POS sells from your stock: prices come from your item list, every sale takes the goods out of the store, and every paid sale is also a paid invoice in Receivables. It comes with Stock management and is ready in about half an hour.
- Stock management with your items and a store
- An Android phone or tablet at the counter: its camera scans the barcodes, so no barcode scanner is needed (a computer works too)
- Optional, only if you want them: a 58 or 80 mm receipt printer, a cash drawer, and a USB or Bluetooth scanner for a very busy counter
Steps
Give your items a selling price
In Stock management > Items, open each item and fill in the selling price. Only priced items can be sold at the till.
Connect your store to a till
In Stock management > Overview press Connect to POS (or open APOPS POS > Settings). Add a till with a short code, a name such as Front counter, and the store it sells from.
Set prices, VAT and the receipt
In APOPS POS > Settings choose whether prices include VAT (16% by default), the cashier discount limit, the paper width, your KRA PIN, phone, address and the message at the bottom of the receipt.
Give your staff their rights
Under Who may use the till, tick Sell for cashiers (people with the cashier role may sell already), Supervise for those who approve refunds and big discounts and check cash counts, and Manage for those who run the tills.
Connect the printer and the cash drawer
Install the receipt printer on the counter computer. Plug the cash drawer into the printer and, in the printer's settings, switch on “open cash drawer when printing”. The drawer then opens with every receipt.
Install the app on the counter device
On the till page press Open the APOPS POS app and install it from the browser. It opens and sells even without internet.
Open the first shift
The cashier chooses the till, enters the cash float and starts selling: tap the 📷 button and scan with the phone or tablet camera (or type or search the item), take cash, card or M-Pesa, and the receipt prints if a printer is connected.
Tips
- Keep costs down: an Android phone or tablet is the whole till. Its camera scans barcodes (in Chrome or Samsung Internet), and the large keypad is made for touch screens. Buy a scanner, printer or cash drawer only if your counter needs them.
- On a Windows computer or an iPhone the browser cannot read barcodes with the camera yet: there, type or search the item, or add a USB or Bluetooth scanner.
- M-Pesa prompts (STK push) to your own Paybill or Till need your Daraja keys in APOPS Pay > Settings. Until then, take cash, card and the M-Pesa code from the customer's message.
- Use Customise my menu > Customise for staff > Show only to give cashiers a menu with only APOPS POS.
